Procedural Information for Graduate Student Academic Appointments (ASEs and GSRs)
This page contains information to help academic departments and hiring units process the appointments and fee remissions of graduate students in academic titles. We will update this page as we refine these support materials, so please be sure to bookmark this location so that you can check back for the most current information.
Academic Student Employees (ASEs) are covered by a bargaining agreement between the University of California and the United Automobile Workers (UAW). On the Berkeley campus, ASEs include Graduate Student Instructors (GSIs), Acting Instructors, Readers, Tutors, Community Teaching Fellows, and Nursery School Assistants. Graduate Student Researchers (GSRs) are not represented in the contract.

Fee Remission Program Information
A chart that lists title codes, remission amounts and the eligibility criteria for fee remissions may be obtained at:

Important Dates and Deadlines:

12, 2003 - February 2, 2004 |
ASEs and fee remissions lists can be submitted to the Graduate Division via e-mail (gradappt@berkeley.edu). |
| January 13, 2004 | Spring semester begins. |
| January 20, 2004 | First day of instruction. |
| Monday, February 2, 2004 | Graduate Division deadline for ASE appointee spreadsheet lists to be sent to (gradappt@uclink.berkeley.edu) to report appointees and for e-mail fee remissions. |
| Friday, February 6, 2004 | 3rd week of classes. Students must be registered and enrolled in at least 8 units. |
| February 16-20, 2004 | 5th week of the semester. Academically ineligible appointments will be cancelled. |
| May 11, 2004 | Last day of instruction. |
| May 22, 2004 | Spring semester ends. |

Graduate Student Academic Appointment Eligibility Checklist
In order for Graduate Division to review ASE appointments by the 5th week of the semester and to process fee remissions before the registration deadline, we have provided an e-mail process to departments. Departments may submit lists of academic appointees from December 12, 2003, to February 6, 2004.
Use the
Excel file available from the link shown below and submit
it to Graduate
Appointments as an email attachment. This file will be
used for eligibility review of all ASEs and to generate fee
remissions for ASEs and GSRs.
Spring 2004
ASE and Fee Remission List (Excel 97) Download and save
this Excel file with a filename that indicates your hiring
unit. When you open the file, if you will see a warning about
macros and viruses that offers you the option of disabling
or enabling macros, you may select disable without
affecting your ability to use this file.
Departments are still required to enter appointment information
in HRMS in a timely fashion for all appointees, and we
encourage you to do so as early as possible. Students are
still responsible for meeting the February 6, 2004 registration
and enrollment deadline, even if appointments and fee remissions
are delayed.
