FAQ

Q: By when do we need to finish our program pages?

A: Our deadline is August 15th, 2012, to leave time for questions and corrections before September 1.

Q: If we need more help, whom should we contact?

Q: How should we decide whether a program page or question should be required or optional?

A: Within program pages, you can decide yourself. If you are not sure whether to request information or not, consider if you really need it or if you can do without it. Also, please use discretion in asking questions of a sensitive nature.

Q: Can we change "required" pages for the Global Pages if we think a page should be optional?

A: No.

Q: Can we add program specific instructions to the Global pages (in particular: statement of purpose)?

A: No. However, we have added explicit instructions to the SOP page to check department web sites for specific instructions.

Q: When creating an optional page with all optional questions, I still see the message "You have completed xx of the required xx items." What does this message mean and what can I do to not display it?

A: The message is a result of the "minimum" and "maximum" answer settings in the page preferences. To avoid the message, set both min. and max. to "1". Refer to the User's Guide for more information on element settings.

Q: What will be the web address for applicants, if we want to refer to it on our web site?

A: Please direct applicants to the following starting page http://grad.berkeley.edu/admissions.

Q: Do we have to list a course work only option for our programs?

A: Yes, we will need to have this option available, however, we will hide the CWO options from the applicants in the list of graduate programs from which they choose their degrees. We can make the CWO version available to individual applicants upon request (mainly Education Abroad participants).

Q: Why does Graduate Division prefer Interfolio (My Credential Vault) as a letter service? Can we use other letter services?

A: We are partnering with Interfolio because 1) their service is also accepted by a large number of our peer institutions (making life easier for faculty), and 2) they are the only outfit that can deliver any letter of recommendation (submitted in any format) electronically and upload it into our system. Other letter services will send letters by mail, which then need to be uploaded by staff.

Q: Is there any disadvantage associated with using this service?

A: There is one minor caveat: At this time, Interfolio is not set up to collect any institution-specific information, such as rating forms.

Q: Who should use the "Deferred" or "Readmit/Program Change" option?

A: Applicants who were approved for an official deferral after being admitted for a previous term, should select the "Deferred" application option. Deferred applicants do not need to pay the application fee. Individuals who were, at any time and in any capacity, enrolled at the graduate level are not considered "new" applicants and will need to choose the "Readmit/Program Change" option, if the program wishes to review their complete application record.

Q: Can applicants change programs or degree goals after they created an application?

A: Applicants should contact the department to which they applied to initiate a degree goal change. For a departmental change, applicants must contact Graduate Admissions directly. All global data will be preserved, however the applicant will need to enter all program page information.

Q: Can program administrators edit an applicant record?

A: Yes, except program changes.

Q: Can applicants change their application information after they have submitted?

A: Applicants can only enter ETS exam registration numbers, and can send reminders to recommenders. All other changes can only be made in coordination with the program administrator.

Q: What email notifications are sent automatically by the system?

A: Confirmation of new application account created; confirmation of submission; confirmation of recommender invitation sent. (Noification of admit/deny decision will also be sent, but those are manually initiated by Graduate Division)
